Reservation Agent

POSITION IS LOCATED IN BEDFORD

JOB SUMMARY:
The Reservations Sales Agent must handle all reservations, inquiries, and cancellations in a timely and courteous manner.

ACCOUNTABILITIES:
The Reservations Sales Agent is expected to give accurate information pertaining to hotel activities and layout, to be familiar with the computer system, and to try to meet special room requests. Maintain communication with Guest Services and Sales staff.

QUALIFICATION STANDARDS

EDUCATION & EXPERIENCE:

• Experience in a hotel or a related field preferred.

• Degree in Hospitality & Tourism preferred

• High School diploma required.

TOOLS & EQUIPMENT:

• Computer, telephone, photocopy machine, fax machine, file cabinets, other office equipment.

PHYSICAL REQUIREMENTS:

• Long hours sometimes required.

• Sedentary work – Exerting up to 10 pounds of force occasionally, and/or negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.

MENTAL REQUIREMENTS:

• Must be able to convey information and ideas clearly.

• Must be able to evaluate and select among alternative courses of action quickly and accurately.

• Must be effective in handling problems in the workplace, including anticipating, preventing, identifying, and solving problems as necessary.

• Must have the ability to assimilate complex information, data, etc. from multiple sources and consider, adjust, or modify to meet the constraints of the particular need.

• Must be effective at listening to, understanding, and clarifying the concerns and issues raised by co-workers and guests.

• Must be able to work with and understand financial information and data, and basic arithmetic functions.

DUTIES & FUNCTIONS

ESSENTIAL:

• Approach all encounters with guests and employees in a friendly, service-oriented manner.

• Maintain regular attendance in compliance with Digby Pines Golf Resort and Spa standards, as required by scheduling which will vary according to the needs of the hotel.

• Maintain high standards of personal appearance and grooming, which include wearing the proper business attire and nametag when working.

• Comply at all times with Digby Pines Golf Resort and Spa standards and regulations to encourage safe and efficient hotel operations.

• Maintain orderliness of office supplies and equipment.

• Answer phones.

• Book reservations.

• Enter reservation into a computer.

• Handle inquiries about hotel.

• Administer group room block.

• Up sell rooms & Amenities

• Be familiar with hotel layout.

• Open, close and restrict inventory

• Handles call conversions.

• Follow up on guest special requests.

• Assist Front Desk during need periods

MARGINAL:

• Call for occupancy at area hotels.

• File reservations and group contracts.

• Send confirmations.

• Process advance deposit and Gift Certificate requests

• Prepare guest comment card reports

• Research T.A. commissions.

• Maintain rapport with Guest Services, Sales and Experiential staff

• Other duties as required.
